As a prospective registrant for an Event (hereinafter as “you/your”), kindly note that this Visitor Terms & Conditions contains essential information about our practices concerning your personal data. Should you decide to register for an Event, by default, you will allow Indian Fharma Fair to access your personal data in the manner explained above – which means, you agree to our privacy terms as stated. You are also presumed to abide by our Event Code of Conduct.
You will be providing us with several personal details like your name, company details, contact, among other information, when you register or participate in an Event. This information will only be utilized to ensure the successful management of the Event. Such includes, confirming registrations, sending notifications, sharing information about the Event, advertising it and any other related activities.

Your personal information is accessible to sponsors, business partners, and exhibitors for the purpose of attending the event and for business networking. This aims at giving you useful business contacts and prospects. However, we do not profit from offering, selling, renting, or trading your personal information with third parties.
Indian Fharma Fair has the right to alter the sequence, venue, subject matter, program timetable, speakers or any other features of the Event without any liability whatsoever. This includes shifting the format of an Event from in-house to online or vice versa. We will communicate these changes if and when such communication is possible.
As a rule, refunds are not granted based on cancellation after an event is confirmed. The confirmed registration for the Event is a commitment that cannot be canceled or assigned to another person. For event cancellations or delays due to unpredictable circumstances, Indian Fharma Fair will communicate details on changes concerning refunding or rescheduling.
We cater primarily to advanced professionals in business for the Indian Fharma Fair. Even though all ages are encouraged to participate, some parts of the event may be limited to individuals older than a certain age for security and logistical purposes. We may control access to certain parts of the Event as we consider appropriate.
We control any disruptions, security threats, or breaches of our policies so that all events can be executed smoothly and efficiently. All attendees must follow directions given by the event security and management at the venue. Breaching behavior may lead to exclusion from the Event.
Participation in the Event implies approval of any portrait, picture, or sound recording whereby you may be identified, In attendance of the Indian Fharma Fair, you forfeit all rights to a remuneration of posting or any other recording of your and your company’s image for marketing the event in any advertisements. If you do not want to be captured on record, please inform event staff beforehand.
Your personal information is protected using security procedures aimed at preventing access, disclosure, or loss. Even though every attempt is taken to maintain safety, all online data transmission comes with its risks. Therefore guarantee cannot be made for full security.
Indian Fharma Fair has the right to change any aspect of this Visitor Terms & Conditions when deemed necessary. We notify our users by uploading the new versions to our website. The continued participation in our Events means acceptance of new terms and conditions. For this reason, we urge all users to examine this policy from time to time.

Besides discrepancies, the guiding principle to this Visitor Terms & Conditions is the governing applicable laws, and as such, the English version is to be taken as authoritative.
Application for participation must be submitted in the prescribed form. Indian Fharma Fair (IFF) has sole discretion to approve or reject participation and exhibits. Only products/services approved by the organizer shall be exhibited.
Space will be allotted on first-come-first-served basis. Booking is confirmed only upon receipt of completed application form with 50% advance payment. Advance payment must be deposited within 10 working days after confirming space, failing which the space will be released to other exhibitors. No sub-letting of space is allowed without prior written consent of the organizer.
Payment Schedule: 50% payment at the time of signing the contract and remaining 50% payment one month before the exhibition. If booking is made within 15 days of the event, 100% payment is required immediately.
Important Conditions: This is a binding contract. Once signed, full payment must be made. Your signature confirms agreement to pay full fees including space rent, registration fee, and all applicable taxes.
No Refund Policy- There is no refund or adjustment of payment for cancellation by exhibitor for any reason. Balance payment becomes due immediately upon cancellation. Without full payment, booth possession will not be given.
Possession of space will be given only after receiving full payment including electricity charges. Booth possession will be given 1-2 days before the event for decoration and setup. Exact construction date and time will be provided in advance.
Maintain stall height as per approval given by Indian Fharma Fair. Back wall of stall must be covered with white plain flex or white color. Only pre-fabricated structures are allowed for bare space booths. Onsite construction is not permitted. Design/layout of the stand must be submitted to the organizer for approval at least 15 days before the show.
Rs. 6,000 is applicable as electricity charges to the exhibitors who are fabricating the stall.
Entry to the expo will be based on exhibitor passes issued by IFF. Two passes will be provided for minimum 9 sq. meters of space and two additional passes for every additional 9 sq. meters booked. Vehicle entry to expo hall/ground is not permitted during expo hours. Movement of exhibits is allowed only before 9:30 AM and after 8:30 PM with prior security approval. Exit permit is required for taking any material out during the expo period.
IFF will make general security arrangements. However, participants are responsible for the security of their exhibits and stall during exhibition hours. Participants must insure their exhibits and display materials against loss, damage, theft, fire, or any other cause. Goods are at the exhibition premises at the expense and risk of participants. The organizer undertakes no insurance and has no liability for damages to goods or persons.
No sub-letting without written permission. No DJ or sound systems allowed at the stall/booth during the expo. Smoking and spitting is strictly prohibited at expo premises. Sale and delivery of products on cash payment basis is not allowed (if done, it shall be at exhibitor's risk only). Exhibitors must not display advertisements of non-participating firms. Exhibitors shall not cause inconvenience to or obstruct other participants. All exhibiting objects/machinery must be within booth area only - material found outside booth is subject to penalty charges.
The organizer reserves the right to change exhibition dates or duration, venue and location, layout plan, hall number, and stall number (with prior information to exhibitors). All exhibitors must accept such changes. Contractual obligations remain unaffected by date/duration changes.
Force majeure conditions include strike, lockout, closure, riots, outbreak of disease, or any event outside organizer's control.
If Cancelled by Exhibitor: No refund of payment made. The organizer may cancel participation and retain all payments made by the exhibitor.
Participant must fulfill cleaning and clearance obligation after the exhibition ends. If participant fails to clean up, the organizer will do so at participant's cost and expense. All waste materials must be removed to designated areas in due time. Construction and dismantling costs are entirely at the expense of the participant.
In case of violation of any rule, IFF shall have the right to close down the stall immediately without prior notice. Penalty charges shall apply for not following organizer and venue owner rules and regulations. The organizer may remove any participant causing nuisance at participant's expense without any intervention of court. No refunds or damages shall be payable in case of removal due to violations.
By signing this application, the participant acknowledges that they have read and accepted all rules and regulations, agreed to comply with all terms and conditions, understood that this is a binding contract with no refund provisions, and accepted that organizer's decisions are final and binding on all matters.
Important Note: The organizer reserves the right to introduce further regulations and guidelines at any time. All exhibitors shall abide by rules and regulations laid down by the organizers and venue owners, whether provided verbally or in writing.
